Get started with CRM Health Scanner in under 2 minutes. No technical setup required.

Connect Your HubSpot Account

Click the "Connect HubSpot — Free Scan" button on the homepage or go directly to the install link. You will be redirected to HubSpot's authorization screen.

Select the HubSpot account you want to scan and click "Connect app." CRM Health Scanner requests read and write access to your contacts. Read access is used for scanning. Write access is only used when you choose to execute a cleanup on a paid plan.

View Your Data Health Score

After connecting, CRM Health Scanner automatically scans every contact in your HubSpot portal. This usually takes 10-30 seconds depending on the number of contacts.

You will see a Data Health Score out of 100 with a letter grade (A through F), along with a detailed breakdown of issues found across seven categories: missing emails, duplicate contacts, missing phone numbers, missing company names, missing names, missing job titles, and missing locations.

Preview the Cleanup (Free)

Click "Preview Cleanup — Free" to see exactly what CRM Health Scanner can fix. The preview shows four categories of fixes:

AI Company Enrichment

Automatically detects company names from email domains. For example, sarah@acmeplumbing.com becomes "Acme Plumbing."

Duplicate Merging

Identifies contacts with the same email address and merges them by keeping the first record and archiving duplicates.

Name Formatting

Fixes inconsistent name capitalization. "john SMITH" becomes "John Smith."

Phone Standardization

Formats phone numbers to a consistent standard: (555) 123-4567 for US numbers.

Execute Cleanup (Paid Plans)

To execute the cleanup and actually fix the issues in your HubSpot portal, subscribe to a paid plan. Click "Fix All Issues" and you will be directed to the pricing page if you do not have an active subscription.

Once subscribed, click "Fix All Issues" again. The app will modify your HubSpot contacts directly — merging duplicates, correcting names, standardizing phones, and filling in company names. You will see a confirmation with the number of issues fixed.

Rescan and Monitor

After cleanup, click "Rescan CRM" to see your improved Data Health Score. As new contacts are added to your HubSpot over time, come back and scan again to maintain data quality. Your CRM data degrades naturally as new leads come in from forms, imports, and manual entry.

Frequently Asked Questions

Is the scan really free?

Yes. The Data Health Score, issue breakdown, and cleanup preview are completely free with no credit card required. You only pay if you want to execute the automated cleanup.

Will the scan modify my HubSpot data?

No. The scan is read-only. Your data is only modified when you explicitly click "Fix All Issues" on a paid plan and confirm the action.

How does AI company enrichment work?

CRM Health Scanner extracts the company name from business email domains. For example, if a contact's email is john@smithconstruction.com, the company field is filled with "Smith Construction." Personal email domains like Gmail and Yahoo are skipped.

How are duplicates handled?

Duplicates are detected by matching email addresses. When cleanup is executed, the first contact record is kept and subsequent duplicates are archived in HubSpot.

Can I disconnect the app?

Yes. Go to your HubSpot account Settings, then Integrations, then Connected Apps. Find CRM Health Scanner and click Uninstall.
